CrewTally Refund Policy

This Refund Policy (the "Policy") describes how refunds are handled for paid subscriptions to CrewTally (the "Service"), operated by CrewTally LLC ("Company," "we," "us," or "our"). This Policy forms part of, and should be read together with, the CrewTally Terms of Service available at getcrewtally.com/terms. Capitalized terms not defined here have the meaning given in the Terms of Service.


1. Who You Purchase From

1.1 Merchant of record. Paddle.com Market Ltd. and its affiliates ("Paddle") act as the merchant of record and authorized reseller for all paid subscriptions to the Service. When you subscribe, your purchase contract for that transaction is with Paddle, not with Company. Company licenses and supports the Service.

1.2 Paddle's terms apply. All transactions are subject to Paddle's Buyer Terms and Conditions and Paddle's Refund Policy, available at paddle.com/legal. Paddle processes payments, issues refunds, and handles chargebacks. In some cases Paddle will apply the refund policy of the software supplier, meaning this Policy.

1.3 Order of precedence. If this Policy conflicts with Paddle's Buyer Terms and Conditions in respect of a transaction Paddle processed, Paddle's terms govern that transaction. Nothing in this Policy limits any right you have under mandatory applicable law. Where applicable law, Paddle's terms, or this Policy would each give you a different level of protection, the greater protection applies.

2. Free Trial and Beta Access

2.1 No charge during a free trial. If your subscription includes a free trial, no payment is taken until the trial ends. If you cancel before the end of the trial period, you are not charged and no refund is required.

2.2 Beta accounts. Accounts using the Service under a free beta program are not charged. This Policy does not apply to them.

2.3 Complimentary and promotional accounts. Accounts that receive the Service at no cost, including tester, ambassador, partner, and other complimentary accounts, involve no payment and therefore no refund. Company may modify or end complimentary access at any time as described in the Terms of Service.

3. Cancellation Is Not a Refund

3.1 Canceling stops future billing. You may cancel a subscription at any time from the billing section of your account or through the management link in your Paddle receipt. Cancellation takes effect at the end of the current billing period.

3.2 Access continues until the period ends. After cancellation you keep access for the remainder of the period you have already paid for. Canceling does not by itself refund the current period.

3.3 Unused time. Except as stated in this Policy or required by applicable law, we do not provide refunds or credits for partial billing periods, unused seats, or periods during which you did not use the Service.

4. Standard Refund Window

4.1 Standard refund. Subject to section 5, if you are dissatisfied with the Service you may request a full refund of the first charge on a new subscription within fourteen (14) days of the date of that charge. Approved refunds are processed by Paddle to the original payment method.

4.2 Renewals. The window in section 4.1 applies to the initial charge on a new subscription. Renewal charges are not covered by section 4.1 and are handled under sections 6 and 7, or under applicable law.

4.3 One per customer. The refund described in section 4.1 is available once per customer and once per company workspace.

4.4 Related Accounts. For purposes of the refund limitation in this section, Company may treat accounts, workspaces, or entities under common ownership or control as a single customer where reasonably necessary to prevent abuse of the refund policy.

5. When Refunds Are Not Provided

Except where required by applicable law, we do not provide refunds:

  • For any billing period other than the one covered by section 4.1.
  • Where there is evidence of fraud, refund abuse, or repeated subscribe-and-refund behavior.
  • Where an account has been suspended or terminated for breach of the Terms of Service.
  • For dissatisfaction with features that were accurately described at the time of purchase.
  • For downtime or defects attributable to a third-party provider outside our reasonable control, except as required by law.
  • For a change in your seat count, business circumstances, or staffing levels during a period already paid for.

6. Seats and Mid-Period Changes

6.1 Adding seats. If your plan charges per active crew member, adding seats during a billing period may result in a prorated charge for the remainder of that period, as described at the point of purchase.

6.2 Removing or archiving seats. Archiving a crew member reduces the seat count used to calculate your next renewal. It does not generate a refund or credit for the current period.

7. Incorrect Charges and Service Defects

7.1 Incorrect or duplicate charges. If you believe a charge is incorrect or duplicated, contact us at admin@getcrewtally.com within thirty (30) days of the charge, consistent with section 3.5 of the Terms of Service. Include your company workspace name, the billing contact email, and the Paddle transaction or invoice reference. Do not send full payment card or bank account numbers. Where we confirm an error, we will instruct Paddle to refund the incorrect amount.

7.2 Service defects. If a defect in the Service materially prevented you from using it for a substantial part of a billing period, and we are unable to resolve it within a reasonable time after you report it, we will consider a refund or credit for the affected period. Report defects to admin@getcrewtally.com.

7.3 Statutory rights preserved. Nothing in this Policy affects any right you may have in respect of a Service that is not as described, is faulty, or is not fit for purpose.

8. How to Request a Refund

Use the table below to identify where to start. Requests submitted to the wrong place will be redirected, which may delay them.

In every case, include your company workspace name, the email address on the billing contact, the date and amount of the charge, the Paddle transaction or invoice reference, and a short description of the reason. Never include full payment card or bank account numbers in an email.

9. How Refunds Are Processed

9.1 Method. Approved refunds are issued by Paddle to the original payment method. We cannot refund to a different card, account, or person.

9.2 Timing. Paddle generally processes an approved refund within 3 to 5 working days for card payments or within 48 hours for PayPal payments. The time for the funds to appear on your statement depends on your bank or card issuer and is outside our control.

9.3 Amount. The amount you receive may differ from the amount originally charged. Taxes collected at the time of purchase are recalculated at the time of refund, and where your payment was made in a different currency, exchange rate movement between the purchase and the refund may change the amount returned.

9.4 Effect on access. When a refund is issued, access to the Service associated with the refunded charge ends. Your Company Data is handled according to the retention terms in our Privacy Policy, and you may export it using the Service's CSV export function before access ends.

10. Chargebacks

10.1 Contact us first. If you believe a charge is wrong, please contact us or Paddle before initiating a chargeback with your bank or card issuer. Most issues are resolved faster this way.

10.2 Effect of a chargeback. Where a chargeback is filed, Paddle may suspend or terminate access to the Service associated with the disputed transaction while the dispute is investigated, and we may suspend the related company workspace. Access may be restored if the dispute is resolved in a way that leaves the charge in place.

11. Changes to This Policy

We may update this Policy from time to time. If we make a material change we will provide notice through the Service or by email at least fourteen (14) days before the change takes effect. The Policy in force at the time of a given transaction governs that transaction.
